AI Workflow Automation for Small Teams: Where to Start
· 6 min read
A step-by-step approach to automating business workflows with AI: pick the right first process, define the rules, schedule it, and measure whether it actually saved time.
Pick the boring process first
The best first automation is high frequency, rule-based and low risk. Document intake, weekly reporting and file admin all qualify. Sales judgement and client negotiation do not.
Frequency matters more than complexity: a five-minute task done daily is worth more automated than a two-hour task done once a quarter.
Write the rules down before you automate
Most automation projects fail because the process only existed in someone's head.
- What triggers the work?
- What inputs are required, and where do they live?
- What does a correct output look like?
- Who reviews it, and what happens when something is wrong?
Schedule, then measure
Once a workflow runs correctly by hand, put it on a schedule so it happens without anyone remembering. Then check the honest number after a month: hours saved, errors avoided, and whether the review step is still needed every time.
In DIGI BIZ OS this maps to workflows for the steps and jobs for the timetable, with run history as the evidence.
